order informationWhen selecting promotional products, there are a few extra details to keep in mind and have ready when placing your order. Product Samples:Carrot Marketing will only charge you for a product sample if the manufacturer charges us for the product sample. We will pay for shipping the product samples via UPS Ground to you. You can provide a shipper account number if you want your sample shipment expedited.
Large Quantity Discounts:Further discount pricing for greater quantities than shown on our website or in catalogs provided to you by Carrot Marketing is available – please inquire with us for a price quote.
Artwork:We prefer artwork files to be sent in PC format and created in Adobe Illustrator and saved as an AI file EPS (Adobe Illustrator, EPS, Curves.) All files are preferred saved as EPS and all text converted to outline. EPS format files provide superior reproduction quality allowing images to be resized with no loss of sharpness or detail. We can use .jpg or .tiff files if their resolution is 600 dpi or higher at the size of the imprint area. The logo should be in black on a white background. Web images are 72 dpi and are not acceptable. Please note that the smallest text size that can be imprinted is typically around 8pt. with some exceptions, for embroidery letters should be non-serif and at least 2/16” to 1/4 ” in height. It is often necessary to modify or drop text entirely for small imprint areas.
Setup Charges:Setup charges are associated with setting up your artwork for production imprint or embroidery. These charges vary for different manufacturers. We will inform you upfront of these charges. Average setup charge for artwork is $45.00
PMS Color Match:Most decoration methods offer the opportunity to closely match the imprint color to a specific requirement. Our customers who require specific matches provide us with a “PMS” color number for each special color in their artwork. PMS stands for Pantone Matching System®. For more information on the Pantone Matching System go to www.pantone.com. Most manufacturers charge a PMS Match charge that averages around $50.00 if required for your order.
Production Time:Production time normally begins once artwork has been received and approved via a faxed paper proof from the manufacturer. Carrot Marketing will submit your artwork to the manufacturer and then provide to you a faxed paper proof or actual pre-production sample proof (normally adds on 1-2 weeks) if required. Once you approve your artwork then production time begins. Normal production time for most items is 3 working weeks. A lot of products can be produced in 1 week and some products require longer production times depending on the manufacturer, product, quantity and pricing. Carrot Marketing will inform you of production times during the product idea or selection process. Rush Service is available on some items; please inquire with us if needed!
Shipping Options:Carrot Marketing works with all manufacturers and suppliers to provide the best freight options for you. Normally most orders are shipped UPS Ground if deadlines permit – we will work with you to determine what you need to make sure your products arrive in time with no additional freight charges. Additional Insurance is added to some freight charges if necessary. Don’t forget that your promotional or gift items can be shipped to us, stored until you need them distributed. We can kit different items together or package individually and drop-ship to your recipient list.
Over/Under Policy:Due to the manufacturing quality and production standards, all customized or personalized orders are subject to an industry standard over-under policy of 10% of the actual order (normal average is 4.6%). Customers who receive more products than actually ordered will be charged for additional product received. Likewise, customers receiving less than the stated quantity will be charged only for what they receive. Carrot Marketing will do everything possible to reduce this occurrence.
Payment Terms:All first time orders require prepayment via Visa, MasterCard or Company Check. Most large quantity orders will require some form of partial prepayment – we will discuss that with you during your order process. Once a payment relationship is established, most clients are provided terms of Net 15 – Net 30.
